Reporting Line:
The Bid Manager will report directly to the Chief Commercial Officer.
Role:
The Bid Manager will be able to efficiently & effectively co-ordinate contributions to Tender and Proposal requirements, across multiple regions (namely UK, mainland Europe and Asia-Pacific region) as per Commercial Processes; specifically Compete, Value & Do.
The creation of content for these proposals will be a requirement of the role.
Key responsibilities:
The Bid Manager will be required to:
- Actively participate in the development and continuous improvement of Commercial Policies and Procedures
- Work with the Business Development business partner to develop market intelligence reporting and understand competition for work.
- Review tender documents and provide summary of requirements and key points to the business/Kick-off meeting, agree tender strategy, including bid/no bid decisions as per Commercial Processes.
- Manage the proposal development, working with key stakeholders (engineering, operations, finance, contracts, commercial, legal etc.) Ensure all requested information is provided, setting, and maintaining deadlines.
- Participate in the management of Opportunity via Customer Relationship Management toolkit (Salesforce)
- Work with supply chain to obtain proposals for specific third-party requirements.
- Proof-read and edit proposal documents ensuring consistency throughout with clear, concise, and appropriate responses, attention to detail and ensuring Unique Selling Point and the benefits of company solutions are promoted.
- Assist with and develop a suite of template documents to support tender responses (FAQ’s, standard responses)
- Manage clarification process to ensure timely responses and accurately record same
- Prepare Executive Summary which contains key win themes for approval by Exec Team.
- Participate in the post-submission Clarification requirements to ensure timely responses and accurately record same
- Participate in pre and post tender meetings to understand objectives of tenders and reasons for not securing work, developing lessons learned.
- On contract award, participate in hand over meetings as required to ensure the business is fully aware of the client contract requirements.
- Develop the bids & tendering team as the business grows internationally
Key outcomes:
- Preparation and submission of bid/tender documents
- Ensure the smooth running of the bid management function
- Ensure registers are maintained and kept up to date
- Help develop department procedures and processes
